Privacy Breach Elimination Workshop
Create effective privacy awareness
programs that minimize employee mistakes.
| Privacy is not restricted to the
Privacy Office; all employees that collect, use,
disclose or are involved in the management of
personal information need to be held accountable.
Privacy is an operational concern and it belongs
everywhere from the front lines where customer
data is collected, right through to the back-end
IT systems where the information is stored.
Many, if not most, privacy breaches are due
to employee mistakes. Privacy breaches result
from loss, misuse, unauthorized access and unauthorized
disclosures of personal information. To
reduce the risk of employee mistakes organizations
should:
- implement an effective employee privacy awareness
program, and
- in key areas, implement policies and procedures
that will eliminate the possibility of a breach.
The first part of this workshop discusses how
to identify, quantify and mitigate the potential
for privacy breaches.
The second part of the workshop provides a 5-step
process to build an effective privacy awareness
program. |

Employee
Mistakes Can be Costly!
Employee mistakes result in:
- frustrated customers;
- unnecessary restrictions on marketing programs
and customer surveys;
- errors that lead to complaints to Commissioners'
offices;
- time-consuming access requests; and
- privacy breaches and the resulting unwanted media
attention.
Training employees on privacy is a sound business investment.
Put Your
Privacy Policy to Work
Implementing
an effective training program can be a challenge. Employees
do not need to be privacy experts, but they do need
to to be sensitive to customers' privacy concerns, and
apply privacy polices in their role every day.
Learn how customer service staff can use privacy policies
to manage privacy inquires. Learn how to empower your
staff to manage first-level access requests. Move privacy
to the front line.
Build Role
Based Privacy Programs
Create a multi-disciplinary privacy program. Learn to:
- build awareness programs for all employees;
- complies with Generally Accepted Privacy Principles;
- create simple but effective training programs
for call centre personnel;
- train marketing program managers how to use and
disclose customer information;
- train privacy coordinators and HR privacy managers;
- use cost-effective delivery methods such as train-the-trainer
and web-based e-training;
- implement employee audits to demonstrate or review
compliance;
- integrate privacy training into standard HR programs;
and
- build education programs for employee privacy.
Culture of
Privacy
Training programs should outline how employees can use
and disclose customer personal information. Too often,
training programs focus on what employees can no longer
do, leaving the trainee with a litany of restrictions.
Make sure your training programs empower employees and
prevent them from using privacy to restrict your business
operations.
Can Technology
Help?
This workshop explores several areas where the effective
implementation of technology will eliminate or reduce
the probability of an employee mistake. We review
solutions for:
- faxing;
- email;
- back-up;
- document management;
- consent management; and
- policy management.
Plus, we will discuss whether encryption is required
for the transfer or storage of sensitive personal information.
